Event training for a healthcare agency

This thriving medical communications agency, with an excellent reputation for strategic and scientific work, wanted to enhance the skills of its Client Services and Project Management Teams so that they could plan more efficiently and deliver more confidently at scientific events.

Kay developed a training programme for the company’s London office that gave the teams a comprehensive overview, and step-by-step guidance, on how healthcare meetings are set up and how best to manage them.

The Background 

The client was a London-based agency that worked regularly at Congresses and other events alongside client in-house event teams, logistics agencies, Congress organisers and booth builders.

A limited understanding of how scientific meetings are put together was creating inefficiencies and leading to poor communication with other stakeholders.

The Role

 Kay’s role was to give the teams the knowledge and skills to work more effectively with both internal and external stakeholders.

She did this by creating separate training modules for each type of meeting that the company was typically involved in. Topics included:

  • Interpreting the client brief

  • Budgets and timelines

  • Working with a Congress Secretariat

  • Managing speaker logistics

  • Understanding the role of other agencies

  • Working with a booth builder

  • Room set up and audio-visual requirements

  • Frequently used documents

The modules were laid out in a format that could be used for every-day reference and Kay ran group and one-to-one training sessions.

The London programme was so successful that it was rolled out to the company’s other offices in the UK and the US. Under the title ‘Professional Meetings’ Management’, it became part of the company-wide induction programme for new staff. It has been updated and run as a refresher course on two further occasions.
